Free job card template for workshops

The PDF is a blank, one-page A4 workshop job card with room for customer details, vehicle information, requested work, parts, labour, approval notes and handover. Print it at actual size and use one sheet per job. The editable HTML version opens in a browser: replace the blank fields, then print or save a PDF. It works without an account and does not send the details you enter to TyreShop Software. Save a separate copy for each job if you need to retain an electronic record.

Allocate a job number and record the date, expected collection time and the person responsible for the job. Confirm the customer's preferred contact number rather than copying an old one without checking. Enter the vehicle registration, make, model and odometer. For tyre work, record the specification you intend to supply and verify suitability for the vehicle. The template is a blank record: it does not look up a registration or select a tyre fitment for you.

Write the customer's request in their own terms, then add the agreed scope. Keep the technician's findings in the work notes so that a recommendation does not look like an instruction to proceed. If the work changes, record the additional scope, the customer's decision, the date and time, and who took the approval. The approval area is a place to record your process, not a substitute for explaining the work and charges to the customer.

Use the line-item table for the tyres or parts actually fitted, their quantities and the labour performed. Identify the tyre size and pattern clearly enough for the counter to reconcile the sale. Keep recommendations or deferred work out of the completed-work list. At handover, check the record against what was approved, note the invoice reference and explain any follow-up to the customer. A job card is a workshop record; issue a separate invoice for payment.

A tyre fitter may need more room for tyre specification and wheel position; a mechanical workshop may need more space for symptoms, diagnosis and labour. A mobile fitter should record the work location and the contact on site. Make these adjustments in the editable copy before printing a batch. Keep the essential customer, vehicle, scope, approval and completion fields so the format remains useful when another team member takes over.

Review the process when missing cards, duplicate entry or unclear status begin to slow the team down. A digital work order can link the customer, vehicle, stock, workshop board and invoice. During a trial, test one complete example from booking to payment and check the records it produces. If you still need paper beside the vehicle, test the printer format as part of that trial.
